• Familiarize yourself with emergency exits on arrival.
• In case of an emergency, follow staff instructions.
• For medical emergencies: give first aid if possible, contact staff for help.
• Call 112 in urgent emergencies (life, health, property or environment at risk).
• Please follow safer space principles: be respectful, open-minded and inclusive towards others.
• Report any unusual situations or disruptive behaviour to staff immediately.

Menus will be available on the tables in both Finnish and English, including allergen information. If needed, catering staff will be happy to provide more detailed information about the dishes.

• Vegan, vegetarian, and dairy-free options are considered part of the standard menu and are therefore not treated as special dietary requirements.
• All special dietary meals will be available at the designated dietary requirements station in Agora Hall.
• Coffee and lunches are served on all three floors

The conference has dedicated WiFi access for the participants to use in the main building:

The University of Helsinki also has Eduroam access. 

• In the entrance floor there are lockers with RFID functionality (e.g., bank cards with contactless payment capability – no charge) where you can leave your valuables and outerwear if needed. Lockers come in different sizes and some fit also cabin-size bags. User instructions can be found by the lockers.
• A small number of RDIF cards are available from the Registration Desk if you are having issues with the lockers. Please return the cards after use.
• Please do not to leave anything in the lockers after the conference programme ends (e.g. for during the very nearby city reception. When the doors close after the last session of the day there is no access until the next morning.
• Room Studium 4 (F3023B), and also Studium 5 (F3023C) when not in use, are designated as a work space for participants to use. 

Please be aware that professional photography, video recording, and media coverage may take place throughout the conference for public relations and marketing purposes. If you have any concerns or wish not to be filmed or photographed, please speak to a member of the organizing team at the registration desk.

Welcome Reception – 15th June 2026 – City Hall

 For delegates who registered for the welcome reception and have received their QR tickets from the City Hall. It is no longer possible to register for this event.

The city of Helsinki warmly welcomes you to its vibrant heart, for the Welcome Reception at the historic Helsinki City Hall. The venue with its neoclassical architecture combines historical charm with modern elegance. Enjoy the inviting atmosphere and connect with fellow attendees after a day of insightful conference sessions. Please arrive at the venue by 18:15.

Conference Dinner – 16th June – Sipuli Restaurant

Delegates who have registered for the conference dinner (indicated with a plate and crockery sign on delegate name badge ) are kindly requested to bring their name badge. 

The Sipuli restaurant is located inside an old red-brick storehouse in the centre of Helsinki, next to Uspenski Cathedral. It offers magnificent views of the cathedral from its glass-roofed winter garden and dining room. The venue exudes maritime tales, adventures, and a touch of mystical ambience from decades past. It’s the perfect setting to enjoy good company and delicious food, making for a memorable evening in the heart of Helsinki.
